SchoolPix understands that providing quality products is crucial to the satisfaction of your school and community. Quality isn’t just about the pose, the smile or the colour of the photograph; it’s also about the accuracy of the information (names, classes, etc) included on everything we print.
At SchoolPix, our School Care team take data integrity very seriously, and they are committed to ensuring that the information provided to our production team for printing is 100% accurate. To achieve this level of quality, we rely on schools to provide us with validated, accurate and complete data/lists in the required format when requested.
Data Timeline
Connected with Wonde
If your school is integrated with Wonde and you have approved your connection to SchoolPix, we will automatically fetch your data five weeks before photography day. We will fetch it again one week before photography to check for new students, staff, or data changes. Any changes made within the week before photography will be dealt with after photography.

Not connected with Wonde
If your school isn’t using Wonde, you will receive an email requesting your student and staff lists approximately six weeks before photography day.
We provide an Excel template with a comprehensive guide with all the necessary information so that you can accurately and thoroughly complete the template with details such as students’ names, classes, ID numbers, and dates of birth. Before submitting the template, we request you double-check everything for completeness and accuracy. If the submitted template is incomplete, we will return it to you for further review. Please note that we will not proceed with any information not finalised, as doing so increases the risk of errors.
If the lists are not provided four weeks before the photography day, it may be necessary to postpone the photography session. We need to generate personalised order flyers for each student and have found that families appreciate receiving them approximately two weeks before the photo day. This allows them ample time to plan and budget for their orders. SchoolPix also requires sufficient time to adequately prepare for your photo day.
Staff and Class Lists
Please ensure you provide all the relevant details:
STAFF LIST
- Staff ID
- Title if required e.g. Mr, Mrs etc
- First name
- Last name
- Staff position/role
- Teachers’ class e.g. Prep A, Grade 4B, Year 1-2B
CLASS LISTS
- Student ID number
- First/given name to be PRINTED
- Last name
- Class/Grade
- Year Level
- Date of birth (so parents can access online ordering without a code).
The exception is missing names for miscellaneous groups, as we understand that these may not be finalised until closer to the photography day. It would be extremely helpful if you could provide a list of the group names to be taken and the rough number in each group. This will help with the timing of the running order and when rostering our staff.
We still require the students’ names in each group to be provided at least two weeks before the photography day to ensure proper planning and coordination.
Date of Birth
To ensure the utmost security of each student when using our online ordering portal, we require their date of birth. Every student is provided with a personalised order flyer with a unique code that links them to our online ordering portal. Occasionally, order flyers may be misplaced or lost, making the personalised code temporarily unavailable. We have implemented a “Student Search” function to address this, allowing families to place orders without the code. However, to use this function, the student’s name, school, class, and date of birth must match the information we have received from the school.
It is important to note that if the date of birth is not provided, we cannot verify the student’s identity. In such cases, the student must contact the school office to obtain their code from the list we emailed. For enhanced security measures, any orders placed using the “Student Search” function will be delivered to the school along with all other orders and cannot be sent to a nominated address.
Family Code
Each family is assigned a family code. We require this code to match the students when ordering sibling photos.
