What’s Behind Photo Day
School photography encompasses numerous stages that often go unnoticed by most people. Much effort is involved, from extensive pre-planning to the actual photography day and the subsequent post-production work. Careful planning occurs before the photography day arrives to ensure everything runs smoothly. On the day of the shoot, photographers work diligently to capture the best images of each student. However, the process doesn’t end there. After the photos are taken, a considerable amount of behind-the-scenes work is involved in preparing the images to be printed and packed. The attention to detail and dedication put into every stage of school photography ultimately results in cherished photos that capture the essence of each student’s school experience.
Account Check – 8 Weeks Before Photography Day
Your Account Manager will complete an Account Check in preparation for your photography day. They carefully check our existing information and email your Account Summary and School Product Summaries to you for checking.
These must be checked carefully, as this is the information we will use when printing your school photos and products. You must advise us of any changes or confirm that it is all correct and ready for photo day.
NB: Schools booked in term one will receive their Account Check in term four.

Manual Data Collection – 6 Weeks Before Photography
Upon completing the Account Check, your job will be handed over to our School Care team, who will request the names of your staff and students and any miscellaneous groups required. Providing this information 5-6 weeks before photography day is crucial to allow us enough time to review and set up your job, ensuring order flyers are ready for printing.
Data Collection via Wonde – 5 Weeks Before Photography
If your school is connected to Wonde we will fetch your data twice:
5 weeks before Photography Day and then again 1 week prior.
Name updates will not be accommodated after the final fetch (1 week prior).
No new students need to be sent during this time, as data will include these new students.
Misc group names and total numbers will still need to be supplied manually.

Pre-Photography Email – 3 Weeks Before Photography Day
Your Account Manager will email you a postal tracking number for your order flyers, a newsletter graphic, a “Photo Day is Tomorrow“ graphic, a list of online ordering codes, and a blank how to order flyer.
How to Order Flyers – 2 Weeks Before Photography
We understand the importance of allowing parents sufficient time to plan and budget, so we aim to deliver your personalised order flyers approximately 3 weeks before photography day. This timing allows for distribution to parents around 2 weeks before, giving them time to budget and place their orders.
Running Order – 2 Weeks Before Photography Day
We will send you a suggested running order for your review and approval. If any changes are required, please let us know.
Second Wonde Fetch – 1 Week Before Photography Day
If you are connected to Wonde, we will fetch your data again one week before photography day to ensure we capture any new students or data changes.
All data changes or new student requests received 7 days before photography day will be actioned post-photography.

Arrival Call – 5 Days Before Photography Day
Five days before photography, one of our photography team will give you a quick call to ensure everything is in place for photography day.
Photography Day
Our team of experienced photographers will arrive at your school an hour before the first scheduled photo. There will be a Team Leader who will take charge of the day. They will review the running of the day with you on arrival. They will check the following with you:
– Locations for groups and portraits
– That the running order for the day hasn’t changed
– If student runners are being provided
– The timing for sibling photography
– Uniform standards
– Requirements for the staff group photo (if taken).
Once photography has been completed for the day, they will check in with you before leaving to ensure the day has been a success.
