Generally, your Account Manager is your best point of contact, but sometimes other departments need to be involved. Remember, we use one email address, so if you’re unsure, send it to smile@schoolpix.com.au, and we’ll allocate it to the correct person.
Throughout the process of school photography, you will interact with four key individuals or departments.
Account Manager
SchoolPix understands the importance of open, transparent communication with our customers. That’s why an Account Manager is appointed as your main point of contact. Their purpose is to guide you through the photography process, keeping you informed from booking to delivery and beyond.
Your Account Manager looks after bookings and dates, account checks, school products, general queries or requests, online order codes, newsletter graphics, and much more!

You should contact your Account Manager about the majority of things, such as:
- Your booking – scheduling or rescheduling dates
- Data preferences- class, staff or prep titles
- Product preferences/requirements
- Complaints
- New students – codes and order flyers
- Ordering information/queries
- Contact changes
- Special requests
- Feedback
- Logos – new or anniversary logo
- ID Cards
- Delivery
- Additional photography – promotional, sacraments, graduation ceremonies, miscellaneous etc.
School Care
You will be sent a request to provide your staff and class lists to use around 8 weeks before photography (depending on how early your photography day is in the year). Once we receive your data, it is checked to ensure we have everything we need to produce your school’s photos. If something is missing or incorrect, you will be contacted by our School Care Team and asked to provide the required information.
You should contact School Care about:
- Class lists
- Staff lists
- Names of miscellaneous groups (if applicable)
- Names of students in the miscellaneous groups
- Names of any students that cannot appear in other student’s packs
- Custom Principal’s message.
Photography
The photography team comprises photographers who visit your school and photography administration staff who look after things in the office. They will send you a suggested running order 2 weeks before photography day for you to check and approve. If any changes are required, please let them know.
One of the administration team will call you around five days before to ensure everything is on track for photography day.
You should contact the Photography Administration team about the following things:
- Running orders – help with it or any changes
- Any last-minute changes to anything that has been previously confirmed
- Questions about locations for portraits or groups
School Care
After completing your photography, our School Care team ensures all the necessary information for producing your school photos is accurate and up-to-date. If we’ve photographed a new student or staff member but don’t have their name, the School Care team may contact you to obtain the missing details. The faster we clarify any outstanding information, the quicker we can send your photos to print!
Additionally, if a proofing process is involved (if applicable), they may contact you to verify that all the information is correct. They will ensure that any required feedback or adjustments are completed promptly and accurately before printing your photos.
If the School Care team contacts you directly, feel free to respond to them. However, if you’re uncertain about anything, you can always contact your dedicated Account Manager; they will gladly assist you.
